Information about the Processing of Personal Data in the KoKiVa Project and Duuniskooppi Service

In the KoKiVa project, the Duuniskooppi service is being tested and piloted (spring and autumn 2023). Duuniskooppi is a website for communication between schools and businesses. The KoKiVa project is funded by the European Social Fund and is coordinated by the University of Oulu in collaboration with the City of Oulu. The KoKiVa project aims to develop high school students’ work-life visits pedagogically and technologically. Our goal is to prepare subject teachers, guidance counsellors, and business representatives for high school students’ work-life visits in a way that encourages young individuals to make educational and career related choices based on their interests and beliefs in their capabilities.

In the Duuniskooppi service, we have compiled information about visit processes and support materials for educational staff and business representatives. The service provides general information, guidelines, support materials, company presentations as work-life cards, news, and contact information for service administrators.

The purpose of this notice is to provide information about the processed personal data, where the data originates, and how it is used in the service. At the end of the notice, the specific rights of the data subjects are explained.

4. Description of the Service and Purpose of Personal Data Processing

Information collected via the Webropol survey for the work-life card (company/organization contact person’s name, email, phone number) will be published with the work-life card if the data provider allows it for communication between educational staff and business representatives. The site administrators or technical operators may process personal data for site security, maintenance, and development purposes.

5. Project Executors

The project staff at the University of Oulu and the City of Oulu who are involved in the project, as well as the technical administrator of the website.

6. Types of Data Collected

The key material consists of responses to the Webropol survey for the work-life card: open-ended responses and multiple-choice answers. Identifiable information collected from work-life representatives via the Webropol form includes:

  • Name
  • Email
  • Phone number

Information provided through the Webropol survey.

8. Sensitive Personal Data

The Duuniskooppi service does not process special categories of personal data under Article 9 of the GDPR (sensitive personal data).

9. Duration of Personal Data Processing

Information is used within the framework of service development and is deleted when a company no longer wishes to be listed in the service as a contact person.

10. Legal Basis for Personal Data Processing

Personal data is processed based on the data subject’s consent, as per Article 6(1) of the GDPR, for the work-life card contact person.

11. Recipients of the Data

Personnel from the KoKiVa project at the University of Oulu and the City of Oulu, who are developing the service. The contact person for the company/organization can request the site administrators to edit the information on the work-life card or request the removal of the information.

12. Transfer or Disclosure of Data Outside the EU and the EEA

Data is not transferred or disclosed outside the European Economic Area.

13. Automated Decision Making

No automated decisions are made.

14. Protection of Personal Data

Personal data is processed and stored so that only those individuals who need it for development can access the information. Sharing data with the City of Oulu is done securely. Data processed in information systems is protected by:

  • Usernames
  • Passwords

15. Data Deletion

Data is stored until the work-life card contact person no longer wishes to be listed in the service. Requests for data deletion can be made via email to jenni.korpi@oulu.fi.

16. Data Subject’s Rights and Deviations from Rights

The contact person for matters related to the data subject’s rights is Hanni Muukkonen (contact details in section 2).

Data Subject’s Rights

According to the GDPR, the data subject has the right to:

• Access information
• Correct information
• Delete data and be forgotten
• Restrict data processing
• Transfer data from one system to another
• Object to data processing
• Not be subject to automated decision-making
• Withdraw consent at any time (to the extent that the processing of personal data is based on consent)


However, the data subject may not be able to exercise all rights in all situations. The situation may be influenced, for example, by the legal basis on which personal data is processed. Right to Lodge a Complaint

You have the right to lodge a complaint with the Data Protection Ombudsman if you believe that the processing of your personal data has violated applicable data protection laws.
